So why do cancellation policies exist?
The answer is: because when a service provider reserves time, that time often cannot be sold or reassigned at the last minute.
You’re Probably Already Familiar with Cancellation Policies
Cancellation policies are common in many industries.
Hotels
Most hotels allow free cancellation up to a certain deadline. However, if you cancel too close to your arrival date—or simply don’t show up—you may be charged for one night or even the full reservation.
Why?
Because the hotel held that room and may no longer have enough time to rebook it.
Airlines
Many travelers choose refundable or flexible tickets because they know plans can change.
The tradeoff?
Flexible tickets typically cost more.
Airlines charge a premium for the ability to make changes because that flexibility has value.
Medical Appointments
Many healthcare providers charge late cancellation or no-show fees when appointments are cancelled without sufficient notice.
That appointment slot was reserved for one patient and could have been offered to someone else.
How This Applies to Interpreting Services
When an interpreter accepts an assignment, they:
- Reserve that time on their calendar
- Decline other work opportunities
- Prepare for the assignment
- Set aside travel time before and after the appointment
In many cases, an interpreter cannot replace that assignment if it is cancelled at the last minute.
A cancellation policy helps compensate interpreters for the time they reserve.
Why Advance Notice Matters
The more notice we receive, the more options we have.
When assignments are cancelled well in advance, interpreters can often accept other work, and customers can avoid cancellation fees.
However, as the assignment gets closer, it becomes increasingly difficult to fill that reserved time with another opportunity.
