We’re looking for an organized, proactive Executive Assistant & Special Projects Coordinator to become a trusted partner to our CEO. There is already a backlog of meaningful projects waiting for the right person to take ownership of them, so the impact is immediate. No two weeks look the same, and that is the point.

This role suits someone who enjoys creating order out of a busy schedule, researching options, and seeing a project through to the end.

This is a part-time W-2 position running from now through December 31, 2026, with the possibility of extending and adding hours based on business needs and mutual fit. It includes paid time off and mileage reimbursement for work-related travel; it is not eligible for health benefits. The work is primarily remote, with occasional in-person support across Metro Atlanta for meetings, conferences, vendor visits and special projects, so you’ll need reliable transportation.

What you’ll do

  • Executive support — manage the CEO’s calendar, scheduling and meetings; keep agendas, notes and action items organized; draft follow-up communications and memos; track deadlines, priorities and project timelines
  • Travel and logistics — research and book flights, hotels and transportation, and build detailed itineraries for business and personal travel
  • Research and special projects — investigate vendors, venues, partnerships and opportunities; gather quotes, compare options, and turn what you find into a clear recommendation
  • Events and conferences — coordinate registrations, vendors, timelines and supplies; research venues, catering and photographers; provide occasional onsite support
  • Personal and lifestyle support — appointments, reservations, household logistics and hosted events, so nothing important slips
  • Marketing and team support — social content logistics, company swag and promotional materials, employee recognition and appreciation gifts

What we look for

  • Experience supporting an executive, entrepreneur, business owner or leadership team, in an executive assistant, administrative, project coordination or operations role
  • Exceptional organization and time management, and real attention to detail
  • Strong written and verbal communication
  • Discretion and professionalism with confidential information
  • Follow-through: you work independently, keep others informed, and finish what you start
  • Strong research and problem-solving instincts. You don’t just name the problem, you bring the recommendation
  • Proficiency with Google Workspace, Microsoft Office and online research tools
  • Event or conference coordination experience is a plus, not a requirement
